Forms

Forms can be used to let e.g. visitors or staff register their information before the event.

Enable the feature

  1. Go to Events in the main menu and open your event.
  2. Go to Settings for the event.
  3. Enable the Forms feature.

Create a form

  1. Go to Events in the main menu and open your event.
  2. Select Forms in the menu.
  3. Click Create form, choose a name and then Create.

Fields

After creating a new form, go to the Fields tab to build the form. You can check that a field is required, and some field types also have their own settings.

Field types

  • Text field

    A simple text field.

  • Text area

    A text field that allows multiple lines.

  • Checkbox

    The checkbox will be followed by the text you enter as the field name. You can choose that the checkbox must be checked, in which case it can be used to e.g. accept the terms.

  • Multiple checkboxes

    The field name becomes the heading, and each value gets its own checkbox.

  • Radio buttons

    The field name becomes the heading, and each value gets its own radio button.

  • Select dropdown

    A dropdown list where you can select one of the values.

  • First name

    Text field for entering first name.

  • Last name

    Text field for entering last name.

  • Address

    Text field for entering address.

  • Postal code

    Text field for entering postal code. Only numbers allowed.

  • City

    Text field for entering city.

  • Email

    Text field for entering email address. Validates that the format is correct.

  • Phone

    Text field for entering phone number. Only numbers allowed.

  • Shift

    This field requires that staff schedules are enabled for the event, and that you have created shifts under staff settings. These shifts are then listed as checkboxes where you can select multiple.

  • Task

    This field requires that staff schedules are enabled for the event, and that you have created tasks under staff settings. The tasks are listed in a dropdown where you can select a preferred task.

  • Custom person fields

    If you have created custom fields for people under the event, you can add these to the form.

  • Divider

    A line, used as a visual element in the form.

  • HTML

    Used to add text, headings or similar in the form, allows any form of HTML.

Settings

Receive registrations

Here you can control whether the form is open for filling in, and control this automatically using start and end dates.

You can also choose the status that new registrations automatically receive.

Convert to person

The forms are primarily intended to collect information about people participating in the event. To be able to manage the people further, the registrations need to be converted to people first.

When a registration is converted to a person, the data you have mapped in the field mapping follows along. In addition, the person is also placed in an event group. Here you can choose to always place all people in the same group, or to control this individually for each person.

It is also possible to assign certain person types to converted people, to enable special features in the system.

Field mapping

Here you choose how the fields in the form are mapped to people under the event. If any field is missing you can always create it as a Custom field under the event settings.

Registrations

For each person who fills in the form, a new registration is created with all the information. Registrations can be filtered by the "Dropdown" fields in the form, as well as by the registration status.
