People

People are the most important part of the system. Much revolves around managing who participates in the event and what tasks they have.

Overview

People in Frevio are linked to an event and assigned to an event group. A person can participate in multiple events – then a separate link (EventPerson) is created for each event.

Find people

  1. Go to Events in the main menu and open your event.
  2. Click People in the menu (or select a group under People to see only people in that group).
  3. Use the search field and filters to find the right people.

Adding people

There are several ways to add people:

Method Description
Add person Create a new person manually with name, email, phone, etc.
Add existing Link a person who already exists in the system to the event.
Import Import people from a file (e.g. Excel).
Forms Receive registrations via forms and convert registrations to people. See Volunteers Step-by-Step.

Person details

When you open a person, several tabs are displayed depending on which features are enabled for the event:

Tab Description
General Basic information (name, email, phone), group, title, custom fields. Link to edit person details and to person overview.
Photo Upload or change photo.
Staff details Work schedule, preferred task/shift, button to email the schedule. (Requires Staff Schedules.)
Meal Tickets Assign meal tickets. (Requires Meal Tickets.)
Hotel Manage hotel bookings. (Requires Hotel.)
Flight Bookings Manage flight bookings. (Requires Flight Bookings.)

Bulk actions

From the people list you can perform bulk actions on selected people:

  • Edit – Change group, subgroup or other fields for multiple people at once.
  • Print – Print accreditation badges for selected people.

Export

You can export the people list to a file. Click ActionsExport and select which fields to include.
